Our team will assist you with registration over the phone, gather your insurance information, and schedule an appointment with a provider we believe will be the right fit for you. Additionally, you’ll be introduced to our convenient Patient Portal, where you can access forms, important information, and schedule future appointments at your convenience.
At your first appointment, we will gather any additional necessary information, including a copy of your insurance card. We kindly request that you arrive 15-20 minutes early to allow time for this process, as there may be additional forms that need to be completed prior to your appointment.
Due to the variability of insurance plans, it is best to contact your insurance carrier directly to obtain specific information regarding coverage details. Unfortunately, we are unable to provide information on individual copayments as they may vary depending on your insurance plan.
We are pleased to treat patients located in Virginia and accept Medicaid and Medicare for individuals within the state. Our services are covered for patients with these insurance plans, ensuring accessibility to quality mental health care for all eligible individuals.

While child therapy is not currently available, we are actively working towards offering this service in the near future. We recognize the importance of providing specialized support for children’s mental health and are dedicated to expanding our services to meet the needs of our community.
We offer virtual tele-visits for unique occasions; however, it is not our primary service. This option provides convenient access to care when face-to-face visits are not feasible, ensuring continuity of treatment and ongoing support for our clients.

MISSED APPOINTMENTS
- Co-pays are a contract you and our practice have with your insurance company and are due at the time of each visit. Please be prepared to pay your co-pay when you arrive for your appointment or if scheduled Televisit collection will be the day before. Failure to pay your co-pay may delay the scheduling of your next follow-up appointment or delay in telelvisit appointment.
- Prior notice of any appointment you are unable to keep allows us to make use of the available appointment. Therefore, we require a cancelation notice of 24 business hours prior to your appointment. Office phone hours are 8am-5pm Monday-Friday.
- For those of you with private insurance, a No-Show fee (no notification of cancellation) of $100.00 or a Late Cancellation fee (failure to provide 24 hours notification of cancellation) of $100.00 will be assessed to the patient’s account and charged to credit card on file.
- More than two No Show and/or Late Cancellations within a twelve (12) month period will result in discharge from Piedmont Partners for Mental Health.
- In the event you are more than 10 minutes late, your appointment may need to be rescheduled and a fee of $100.00 may be assessed.
- We require that you call our office prior to your appointment with any insurance changes. This allows our office the opportunity to obtain your benefit information.
The above policy has been made to help our practice serve you better by keeping down unnecessary operating costs. Thank you for your cooperation and for allowing us to participate in your care. A copy of this signed agreement will be made available to you upon request.
